Description: Freezerworks Sample Management Software is a Laboratory Information Management System (LIMS) that is used for biological sample tracking and freezer inventory. This software tracks biological samples being stored, moved, and tested. Freezerworks Sample Management Software also provides bio-repository services and allows for a customized definition of data fields, data entry screens, and freezer labeling.

There are four editions of Freezerworks Sample Management Software: Base, Ascent, Summit, and Pinnacle. The scope of this entry is for all four editions.

This technology stored data in a proprietary database called 4D and is offered in two different installation platforms: Desktop or Client/Server. User data is kept in the .4dd file. Data files can be renamed anything but must have the .4dd extension. The default data file name is Freezerworks2018.4dd. The server application is installed on VA premises and houses the data. Data is encrypted in transit via Transport Layer Security (TLS), however, encryption at rest must be facilitated by VA. Information that is stored is defined by the user and the data fields that have been defined within the system. The client application connects to the local server via Transmission Control Protocol (TCP)/Internet Protocol (IP) connection.

Prior to use of this technology, users should check with their supervisor, Information Security Officer (ISO), Facility Chief Information Officer (CIO), or local Office of Information and Technology (OI&T) representative to ensure that all actions are consistent with current VA policies and procedures prior to implementation.
